Handling orders
What each status means, what you owe at each one, and the clocks that move an order when nobody does.
The stages
- Pending
- Placed, not paid. Do not pack anything yet. It cancels itself after 24 hours.
- Paid
- Their money moved. You now owe them the thing.
- Fulfilled
- You marked it sent, ready or handed over. Add tracking here if there is any.
- Completed
- The buyer confirmed, or fourteen days passed and it completed itself.
- Refunded
- Money went back. Our fee goes back with it — you are not charged a fee on a sale that unwound.
Requests, rather than outright purchases
Some things arrive as a request you accept or decline instead of a completed purchase. Those go requested, accepted, fulfilled, completed.
You get one nudge if a request has sat for a day, and the request cancels itself after two days with the buyer told. The nudge is sent once and only once — the alternative is being poked hourly for a day.
Refunding
You can refund a paid order at any point. A buyer can also cancel their own paid order before you fulfil it, which refunds them in full — treat that as a lost sale rather than a problem to solve.
Where a single item in a larger order turns out to be unavailable, that one line can be refunded on its own without unwinding the rest.
What earnings actually counts
- Pending orders are excluded entirely. Money that has not moved is not earnings.
- A refunded order counts only as refunded. It does not contribute to gross or net — which matches what you actually saw in your payouts.
- Totals are per currency and never merged. A single number spanning naira and dollars would be meaningless.
